Exhibitor Terms & Conditions

These Terms & Conditions apply only to exhibitors at the Scottish Marketing Summit 2026 (“the Event”).
By purchasing an exhibitor space at the Scottish Marketing Summit 2026 (SMS26), you agree to the following terms and conditions.
1. Definitions and event details
1.1 The Scottish Marketing Summit 2026 is operated by Socially Creative, trading as Scottish Marketing Summit.
1.2 In these terms, “Scottish Marketing Summit”, “we”, “us” or “our” refers to Socially Creative trading as Scottish Marketing Summit.
1.3 “Exhibitor” refers to the individual, company or organisation purchasing an exhibitor space.
1.4 Event details are as follows:
a) Event: Scottish Marketing Summit 2026
b) Date: 29th October 2026
c) Venue: Hampden Park Stadium, Glasgow
d) Event hours: 9:00am to 5:00pm
1.5 Exhibitor access and timings:
a) Exhibitor setup access from 7:00am on the event day
b) All stands must be fully set up and operational by 8:45am
c) Attendees arrive from 9:00am
2. Exhibitor space and inclusions
2.1 Each exhibitor space includes:
a) A dedicated exhibition space in a high traffic area
b) One exhibition table within a 5m x 2m footprint
c) Space for pull up banners or freestanding signage within the allocated area
d) Two chairs per stand
e) Logo placement on the Scottish Marketing Summit website with a clickable link
f) Logo inclusion in official event marketing emails
g) Logo display on the main stage screen during scheduled breaks
h) Access to exhibitor guidance and preparation materials
i) Best endeavours strategic support from Susan Carruthers
2.2 All exhibitor spaces, layouts and inclusions are subject to final venue configuration.
2.3 No expansion, modification or sharing of exhibition space is permitted without prior written approval.
3. Pricing, payment and refunds
3.1 The fee for an exhibitor space is £700.
3.2 Payment may be made either:
a) In full at the time of booking, or
b) In three instalments of £240, charged 30 days apart
3.3 All exhibitor fees are strictly non refundable, regardless of circumstance.
3.4 If an exhibitor withdraws, fails to attend, or is removed from the event, all payments made shall be forfeited.
3.5 Failure to complete any scheduled payment will result in immediate cancellation of the exhibitor space, with all monies paid retained.
3.6 Exhibitor spaces are non transferable without prior written consent from Scottish Marketing Summit.
4. Power, Wi Fi and equipment
4.1 Power is not included as standard.
4.2 Power access is available as an optional upgrade for £30, subject to availability.
4.3 Wi Fi is provided by the venue and is not guaranteed.
4.4 Exhibitors must provide their own tablecloth.
4.5 All signage, displays and equipment must remain within the allocated exhibition footprint.
4.6 The maximum permitted banner height is 6.5 metres.
4.7 Displays must not obstruct walkways, neighbouring exhibitors or emergency exits.
4.8 Failure to comply may result in displays being modified or removed without refund.
5. Setup, attendance and breakdown
5.1 Exhibitors may access the venue from 7:00am on the event day.
5.2 All stands must be fully operational by 8:45am.
5.3 Exhibitors must remain in place until the event closes at 5:00pm.
5.4 Early breakdown is strictly prohibited.
5.5 Exhibitors who dismantle, abandon or leave their stand before the event concludes may be excluded from future events.
5.6 Exhibitors are solely responsible for the security and safety of their equipment, materials and stock at all times.
6. Conduct, suitability and removal
6.1 Scottish Marketing Summit reserves the right, at its sole discretion, to refuse, remove or require the immediate withdrawal of any exhibitor.
6.2 This includes, but is not limited to, exhibitors whose conduct, messaging, products or sales activity are deemed unsuitable, misleading, aggressive, inappropriate or misaligned with the event or its audience.
6.3 Removal may occur without refund and without obligation to provide justification.
6.4 Exhibitors must conduct themselves professionally at all times.
7. Data collection and GDPR
7.1 Exhibitors may collect personal data from attendees only with clear, informed and lawful consent.
7.2 All data collection must be fully GDPR compliant.
7.3 Any guidance provided by Scottish Marketing Summit is advisory only.
7.4 Responsibility for compliance, storage, processing and lawful use of data rests entirely with the exhibitor.
7.5 Scottish Marketing Summit accepts no liability for any data protection breach by an exhibitor.
8. Promotion, photography and media
8.1 Exhibitors may use Scottish Marketing Summit branding to promote their attendance.
8.2 Scottish Marketing Summit may use exhibitor names, logos, photographs and video footage captured at the event for marketing, promotional and commercial purposes.
8.3 Attendance at the event constitutes consent to photography and filming.
9. Insurance and liability
9.1 Exhibitors are responsible for holding appropriate public liability insurance.
9.2 All exhibitor property is brought to the event entirely at the exhibitor’s own risk.
9.3 Scottish Marketing Summit accepts no responsibility or liability for loss, theft, damage or consequential loss of any kind.
9.4 No representation, guarantee or warranty is given regarding lead generation, sales, return on investment or business outcomes.
10. Support disclaimer
10.1 Any support, guidance or advice provided by Susan Carruthers is offered on a best endeavours basis only.
10.2 No guarantee of results, sales or performance outcomes is given or implied.
11. Changes and force majeure
11.1 Scottish Marketing Summit reserves the right to make reasonable changes to the event schedule, venue layout or exhibitor arrangements.
11.2 Scottish Marketing Summit shall not be liable for delay, disruption or cancellation caused by circumstances beyond its reasonable control.
11.3 In the unlikely event that the Scottish Marketing Summit is cancelled, your exhibition space will automatically be moved to the next summit.
12. Acceptance of terms
12.1 Purchase of an exhibitor space constitutes full acceptance of these terms and conditions.
